The challenge
The client, an international recruiting agency, was unhappy with the document management system they had. Personal data for hundreds of workers, dozens of employers, agencies, and landlords needed to live in one place — searchable, editable, and safe to hand off between staff — instead of scattered across spreadsheets and paperwork. We were brought in to design and build that platform from the ground up.
What we built
A full document management system covering every side of the agency's operations: client and employee records, employers, accommodation providers, and partner agencies, all cross-referenced in one database. About a year after launch, the client came back with a new requirement — tracking employee finances — and a substantial part of the system was built out to support it.
- Personal data management for clients, employers, and agencies
- A template engine for generating reports and filling out application forms automatically
- A financial module tracking advances, income, payouts, bonuses, accommodation, transport, and health insurance per worker
- Full field-level history for every record in the system
Feature spotlight: complete change history
With this many people editing sensitive records — personal details, wages, contracts — accountability matters. Every record in PRG Docs keeps a full history tab: every field that changed, its value before and after, and exactly when the change happened. Nothing is ever silently overwritten, and staff can always trace how a record got to its current state.
